We act as Data Controller for our own business operations and as Data Processor for recruiter-managed candidate and client data uploaded or generated in the Service.

2. What Data We Process

As Controller:

  • • Recruiter account data
  • • Usage data
  • • Website data

As Processor:

  • • Candidate data
  • • Client data
  • • Communication metadata

Recruiters are responsible for lawful basis and notices to candidates and clients.

3. Purposes and Lawful Bases

We process data for:

  • Service provision (contract)
  • Billing/legal obligations
  • Service improvement and security monitoring (legitimate interest)
  • Marketing to recruiters (consent or soft opt-in)

We do not use candidate/client data for our own marketing.

4. Sharing of Data

We only share data with subprocessors such as hosting providers, payment processors, and authorities when legally required. All subprocessors are bound by agreements and SCCs where applicable.

5. Data Retention

Recruiter account data: Kept while active + 3 years

Candidate/client data (as Processor): Retained until recruiter deletes or up to 6–12 months after role closure

Logs/backups: Deleted within 90 days

6. Data Subject Rights

Data subjects may request access, correction, deletion, restriction, objection, and portability. For candidate/client data, requests must be directed to the recruiter. RecruitMail supports recruiters in fulfilling these rights.

7. Security

We apply encryption (in transit and at rest), access control, logging, backups, and staff training to protect your data.

Essential cookies for sessions; analytics cookies only with consent where required.

9. International Transfers

Transfers outside EEA/UK rely on SCCs or adequacy decisions.
